Property management software holds highly sensitive information — Social Security numbers, bank details, credit and background results and lease documents. This Policy explains exactly how that data is collected, stored and protected, and how payments are kept out of EGT’s own systems.
1. Who We Are and What This Policy Covers
EGT Networks, Inc. ("EGT", "we") provides cloud software that landlords, property managers and tenants use to manage rental operations. This Privacy Policy explains what personal information the EGT platform collects, why we collect it, how it is stored and protected, who it is shared with, and the choices you have.
The platform captures sensitive consumer information, including Social Security numbers, bank account and routing details, credit and background check results, and lease agreements. We treat that information as confidential and handle it in the ways described below.
2. Information We Collect
- Account and identity data: name, email address, phone number, password hash, role and access level.
- Property and rental data: property addresses, unit details, lease terms, rent amounts, maintenance requests and related notes.
- Tenant application and screening data: date of birth, government identifiers such as a Social Security number where an applicant or landlord supplies it, employment and income details, credit history and background check results, references and uploaded identity or income documents.
- Payment data: invoices, amounts, dates, status and processor transaction identifiers. Full card numbers are never stored on EGT servers — card details are captured and stored by our PCI-DSS compliant payment processor.
- Documents: leases, notices, statements, photos and other files you or your tenants upload.
- Technical data: IP address, device and browser type, pages viewed, and security and audit logs.
3. Why We Use It
- To provide the software: creating accounts, storing properties and leases, generating documents, tracking rent and maintenance, and delivering notifications.
- To process subscriptions and payments through our payment processor.
- To provide screening, e-signature, email, mapping and AI-assistance features you choose to use.
- To secure the platform: authentication, access control, fraud prevention, audit trails and incident response.
- To support you: responding to requests, troubleshooting, and sending service and account messages.
- To comply with law and enforce our Terms of Service.
4. Roles and Consent
When a landlord or property manager enters tenant, applicant or vendor information into the platform, that organization decides what is collected and why. It is responsible for obtaining any consent or authorization the law requires (including consent for credit or background screening) and for providing required privacy notices to its tenants and applicants.
EGT processes that information to operate the software on the organization’s instructions. Do not enter another person’s sensitive information unless you have lawful authority to do so.
5. Payments
Subscription fees and any online payment features are processed by third-party payment processors, currently Stripe. Payment card data is submitted to the processor and is not stored on EGT systems. EGT never holds, escrows or transmits rent, security deposits or other funds belonging to landlords or tenants; the platform records payment information for bookkeeping.
6. How We Share Information
- Within your workspace: with the landlords, property managers, staff and tenants you authorize, according to the access levels you set.
- Service providers: hosting, database, email delivery, payment processing, e-signature, screening, mapping and AI providers that process data on our behalf under contract.
- Legal reasons: when required by law, subpoena or court order, or to protect the rights, safety and security of EGT, our users or the public.
- Business transfer: in connection with a merger, acquisition or sale of assets, subject to this Policy.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
7. How We Protect Information
- Encryption in transit (TLS) for all data sent to and from the platform.
- Role-based access control and per-record permission rules, so landlords, staff and tenants see only the records they are entitled to see.
- Authentication controls, session security, and audit logging of key actions.
- Access to production data limited to authorized personnel with a business need.
- Vendor review and contractual confidentiality obligations for service providers.
- Payments handled end-to-end by a PCI-DSS compliant processor, keeping card data out of our systems.
- We are actively working toward a SOC 2 Type II audit to independently validate these controls, and we will make the report available to customers on request once complete.
No system is completely secure. If we become aware of a breach affecting your personal information, we will notify affected users and the relevant authorities as required by law.
8. Retention
We keep personal information for as long as your account is active and for as long afterwards as needed to meet legal, tax, accounting and recordkeeping obligations, resolve disputes, and enforce agreements. When information is no longer needed, we delete or de-identify it. You may request an export of your data before closing your account.
9. Your Choices and Rights
- Access, correct or delete your account information from your profile, or by contacting us.
- Request a copy of the personal information associated with your account.
- Ask us to delete your data, subject to legal retention requirements.
- Opt out of non-essential email at any time using the unsubscribe link; account and security messages will still be sent.
- Tenants and applicants: contact the landlord or property manager who collected your information first; we will support their response.
Depending on where you live, you may have additional rights under state privacy laws, including the right to know, delete, correct and opt out of certain sharing. We honor these requests as required by applicable law.
10. Children
The platform is not directed to children under 16, and we do not knowingly collect their personal information.
11. Changes to This Policy
We may update this Policy and will post the revised version with a new effective date. Material changes will be communicated through the platform or by email.
